Job Map

The Job Map tab on the Dashboard shows Rochele Live - Daily Map: a Google map of greater Brisbane with a pin for every quote or job event that has happened so far today. It resets every day, so it is a live “what is going on right now” view for management, operations, accounts and estimators rather than a record of past work.

What you see

The map

• Centred on Brisbane at a city-wide zoom, with the usual Google map, satellite and zoom controls. Street View is turned off.
• A short loading spinner while the day’s data is fetched, then pins appear.
• Every pin is a teardrop marker with a black outline. The fill colour tells you the type of event.
• Hovering a pin shows a tooltip: the quote reference number for quote pins, or “reference | price | address” for job pins.
• If the data cannot be loaded you will see “An error occurred loading the daily map, please contact your system administrator for assistance”.

The Type filter

Above the map is a Type dropdown. View All (the default) shows every pin type at once. Choosing one type hides the rest. Each option in the list has a small colour swatch so you can match it to the pins.

Pin types and colours

The colours are fixed and are not affected by quote or job status. Status is shown inside the popup instead.

What is included and excluded

The map applies the same rules to every type:

• Today only. “Today” is the calendar day on the server. Nothing from yesterday carries over, and the map is empty first thing in the morning.
• Must have a map location. A quote or job whose address could not be placed on the map (no coordinates, or coordinates of zero) is left off. If a job you expect is missing, open it and check the address has been recognised by the address lookup.
• Quotes in Cancelled or Declined status are excluded from the four quote types, even if the event happened today. Quotes in every other status appear, including Accepted.
• Cancelled jobs are excluded from the three job types.
• Quote appointments also skip appointments flagged as personal and appointments whose quote has been cancelled or declined.

What you can do

Filter to one type of event

1. Open the Type dropdown above the map. You can type to search the list.
2. Pick a type, for example Team member checked-in.
3. The map clears and redraws only that type’s pins. Pick View All to bring everything back.

The data for all seven types is fetched once when the map loads, so switching types is instant and does not re-query the server.

Open a quote from the map

1. Click a green, red, orange or light blue pin.
2. A popup opens with the heading Quote #[reference] - [customer name] and the quote address, then:
   • Type - which of the four quote events this pin represents
   • Estimator - the estimator assigned to the quote (for appointment pins, the estimator on the appointment)
   • Status - the quote’s current status
3. Click the quote reference to open the quote, or the customer name to open the customer record.

Open a job from the map

1. Click a dark blue or purple pin.
2. A popup opens with the heading Job #[reference] - [customer name] and the job address, then:
   • Type - Quote acceptance or PM report created
   • PM - the Project Manager assigned to the job
   • Start Date - the job’s start date
   • Price - the job value
   • Status - the job’s current status
3. Click the job reference to open the job, or the customer name to open the customer.

See who is on site

1. Click a pink pin.
2. The popup shows the job heading and address, then Team member checked ins today: followed by each person’s name and the time they checked in.
3. Click the job reference to open the job. The same check-ins also appear as an entry on the job’s timeline.

Refresh the map

The map does not update by itself. Reload the browser page (or click the Dashboard menu item) to pull in activity since you opened it.

How it works behind the scenes

The map is a read-only window onto events created elsewhere:

• Booking created and Quote created both come from quotes being saved, one from the booking form on the website and the other from the iPad app or the web app. Because the split is based on the quote’s name, a booking-form quote that a staff member later renames to start with “Quote” would move to the orange group.
• Quote appointments come from the estimator calendar; see Appointments.
• Quote sent is triggered when a quote version is emailed from the quote screen. A quote created and sent on the same day shows two pins at the same spot, one orange and one light blue (the original request asked for the sent pin to replace the created pin, but the current map shows both).
• Quote acceptance is the moment a job record is created from an accepted quote.
• PM report created comes from the Project Manager saving a report in the iPad app; see Project Manager Visits and Job Progress.
• Team member checked-in comes from the daily check-in in the Tradesperson app, or from the PM recording who is on site in a report. Check-ins are recorded against the job and the tradesperson’s team, and also feed the job timeline.

The map replaced an earlier “Your Job Locations” map in May 2025. That earlier map showed all current jobs coloured by status; that view now lives on only as the Project Manager map described below.

The Project Manager map

Project Managers do not see the daily map on the dashboard. Instead they get a job map built for them, shown as Your Job Locations at the top of their Metrics tab in the web app and as the My Map menu item in the iPad app. Both are the same live page served by the web app.

What it shows:

• Only the logged-in PM’s own jobs, so PMs cannot see each other’s work.
• Jobs that are under 100% complete and were created in the last 12 months. Fully completed jobs drop off the map.
• Pins coloured by job status rather than by event:

Tapping a pin shows a popup with the job reference and customer name, address, PM, Start Date, Price and Status. Tapping the job reference opens that job inside the iPad app. If the job is not yet downloaded to the iPad the app shows “Job Not Found”.

There is no filter on this map. It is centred on Brisbane a little closer in than the dashboard map. Anyone who opens the link without the Project Manager role sees “You do not have access to this page.”

Tips and gotchas

• Empty map at 7am is normal. Pins appear as the day’s bookings, appointments and check-ins come in.
• A missing pin is almost always one of three things: the event was not today, the quote or job has no map coordinates, or the quote is Cancelled or Declined (or the job is Cancelled).
• Two pins stacked on the same address are common: a quote created and sent the same day, or a PM report and a check-in on the same job. Click each, or use the Type filter to separate them.
• The estimator shown on a red appointment pin is the estimator booked for that appointment, which can differ from the estimator on the quote if the appointment was reassigned.
• Prices in popups are shown in Australian dollars but formatted in US style (comma thousands, no space), which is a display quirk only.
• The map needs a valid Google Maps key. If the map area is grey or shows a Google error, that is an account or key issue for the developers, not a data issue.
