Medium Quotes

Quotes > Medium Quotes is a follow-up list. It shows the same information as the main Quotes list but is pre-filtered to mid-value quotes that are still open, and adds columns that tell you when each customer was last contacted. Sales and operations staff work through it to keep mid-sized proposals moving.

The Medium Quotes list with the Last Date Contacted filter and contact columns

A quote appears here when all of the following are true:

  • Its price is between $20,000 and $49,999. The price used is the accepted price if the quote has been accepted, otherwise the latest quote version price. This range is fixed in the system and is not a setting.
  • It was created in the last six months.
  • Its status is Pending, Quoted, Pending Deposit or Quote Sent (unless you pick a different status in the filter). Accepted, Cancelled and Declined quotes are excluded and are not offered in the Status dropdown.
Filter What it does
Type One quote type.
Estimator One estimator.
Status One open status. Leave on None to see all four open statuses.
Appointment Date Range Quotes with an appointment between the two dates.
Last Date Contacted Quotes whose most recent contact falls between the two dates. Dates in the future cannot be chosen. Use this to find quotes nobody has touched recently, or to review what was contacted this week.
Repayment plan Only quotes offering a repayment plan.

Click Search to apply the filters. Create new opens the Create Quote form.

The columns match the main Quotes list (reference number, customer, parent, type, address, appointment time, estimator, price, status) plus two follow-up columns:

Column Meaning
Last contacted The date and time of the most recent contact. This is stamped when a note is added to the quote, when an appointment is edited or resent, or when the appointment confirmation is resent.
# times contacted The number of notes on the quote.
  1. Sort by Last contacted (click the column heading) so the quotes that have gone longest without contact rise to the top.
  2. Click a row to open the quote, check the Quote Versions tab to confirm the proposal was sent and has not expired, and read the latest Notes.
  3. Call or message the customer. Use Send Message in the Messages tab if you want the contact logged as an email or SMS.
  4. Add a note describing the conversation. This updates Last contacted and increases # times contacted, so the quote drops down the list.

Set Last Date Contacted to the period you care about and click Search. Combine with Estimator to review one estimator’s follow-ups.

  • The price test looks at the most recent quote version, so a quote whose estimator adds a cheaper or dearer version can move in or out of this list.
  • The six-month window is measured from the date the quote was created, not the appointment date.
  • Medium quotes do not have their own emails or scheduled tasks. They receive the normal proposal reminders described on the Quotes page.
  • Quotes at $50,000 and above are the territory of Large Quotes, although a large quote is a manual flag rather than a price band, so a quote can be both medium by price and flagged large.
  • A quote that has just been booked and not yet quoted has no price, so it will not show here until the estimator saves a priced version.
  • Because the default statuses exclude Accepted, an accepted medium quote disappears from this list the moment the customer accepts. Use the main Quotes list with a price range if you need to see it.
  • # times contacted counts notes only. Phone calls that were not noted do not count, which is one more reason to add a note after every call.
