Improvement Requests

Tradespersons > Improvement Requests lists every workmanship and safety improvement request raised against a tradesperson’s job. Management use it to see who is generating repeated requests; project managers use it to follow up on their own findings.

An improvement request is created by a project manager on the iPad while completing a site visit report. It is a formal record that the work or the site safety did not meet the standard, with comments and photos, and it is emailed to the tradesperson.

The Improvement Requests list showing Name, Tradesperson, Comments and Created columns

Column Meaning
Name The type of request: Workmanship Inspection or Safety Inspection.
Tradesperson The tradesperson allocated to the job (sub job) the request was raised against.
Comments The project manager’s comments from the report.
Created The date the request was raised.
Note icon Opens the public request page showing the name, status (Completed or Pending), comments and the photos or videos the PM attached. This is the same page the tradesperson receives a link to.

The list is newest first, 15 per page, and shows both request types by default. When you arrive from a dashboard graph the list is filtered to one type, a date range and a project manager.

  • The Improvement Requests column on the Tradespersons list counts workmanship requests per tradesperson.
  • The Metrics dashboard has Safety Improvement Requests and Workmanship Improvement Requests bar graphs. Clicking a bar opens a month view with Job ref (links to the job), Location, Tradesmen, PM, Comment and Created, plus an icon that opens the request itself. Project managers see only their own jobs unless they switch to the aggregated view, which shows every PM; management can pick any PM or see all.

Click the note icon on a row to open the request page in a new tab. Photos and videos are shown with the PM’s notes under each one.

Requests cannot be edited or replied to from this screen. Use the Send Message button on the tradesperson’s profile or the Message Centre to discuss the finding, and use the job’s Tradespersons tab if the work needs to be re-scheduled.

Open the Metrics dashboard, find the Safety or Workmanship Improvement Requests graph, set the month and (for management) the PM, and click a bar.

Improvement requests are created on the iPad, not on the web. When a project manager completes a site visit report, the report includes two questions:

  • Workmanship Inspection: Yes or No. Choosing No shows the tradespersons (sub jobs) on the job so the PM can pick which one(s) failed, add comments, attach photos or video, and optionally add extra email addresses.
  • Safety Inspection: Yes or No, with the same options.

When the report is submitted, one improvement request is recorded for each failed tradesperson and the emails below are sent. See Project Manager Visits and iPad App.

Request type Email Who receives it
Workmanship Workmanship Report for Job , sent about 10 minutes after the report is submitted. Includes the date and time, job reference, site address, customer, painter on site, the photos with notes, a View details button and the PM’s signature block. The tradesperson, any extra addresses the PM entered, the job’s project manager, the tradesperson’s team admin, the PM who submitted the report, and the Improvement Request (Workmanship) CC list.
Safety Safety Inspection Improvements for #. Includes the PM’s comment, the list of safety hazard codes on the job and the photos with notes. The tradesperson, any extra addresses, the job’s project manager, the tradesperson’s team admin and the Improvement Request (Workmanship) CC list.

The CC lists are managed in Settings > Entities > CC Emails.

On the first day of each month the Improvement request report task emails the Improvement Request Report CC list a summary of every workmanship improvement request raised in the previous month: the request (linked), the sub job reference, the tradesperson and the comments. This was introduced so management can see who had the most requests and share the results company wide. Safety requests are not included in the monthly email.

Each failed tradesperson on a report produces one request record. Re-submitting the same report for the same tradesperson and type updates the existing record rather than creating a duplicate, so counts are per tradesperson per report type.

  • The list shows the tradesperson allocated to the sub job at the time you view it. If a job was re-allocated after the request, the name may not be the person who did the work; open the request and read the PM’s comments.
  • The Improvement Requests column on the Tradespersons list counts workmanship requests only. Safety requests are visible here and on the dashboard graphs.
  • Project managers who cannot see a colleague’s requests on the dashboard need to switch on the aggregated view; only management can filter by another PM.
  • Requests are permanent records. If one was raised in error, the PM should note that in a follow-up message to the tradesperson; there is no delete.
