Jobs Board
Jobs > Jobs Board is the older weekly scheduling view. It shows the current week’s sub jobs as cards in Monday to Friday columns, plus an Unscheduled column for sub jobs on Ready to Schedule jobs that have no start date. Most day to day scheduling has moved to the Planning Board, but the Jobs Board is still in the menu and works, so this page explains what it does and where it differs.

What you see

Section titled “Week navigation”The board opens on the current week. Add a start date to the page address (for example ?start_date=2026-09-14) to view another week; the board snaps to the Monday of that week. There is no visible navigation on the current version of the page, which is the main reason the Planning Board superseded it.
Columns

Sub job cards
Section titled “Sub job cards”Each card header shows the customer’s board name (and parent surname if any), the job type initials, the sub job reference and the sub job price in thousands. Click the header to expand the body, which shows:
- The sub job reference linking to the job page.
- Suburb.
- Profession and allocated tradesperson, or “Unassigned”.
- The job type.
- For unscheduled cards, the customer’s Preferred start date.
- Two indicators: JC lights up when the work order has been sent to the tradesperson; CC lights up when the client card has been sent (or the sub job is Ring and Book, because no client card is needed).
A card header turns to the “complete” style when the sub job has a start date, a tradesperson, a sent work order and either a sent client card or Ring and Book schedule. In other words, when nothing further is needed for it to start.
What you can do

Section titled “Move a sub job to a day”- Press and hold a card for a moment, then drag it into a day column.
- On release the sub job’s start date is set to that day and a confirmation appears. If the job has more than one sub job you are warned first so you remember to schedule the others.
Allocate a tradesperson and send the cards
Section titled “Allocate a tradesperson and send the cards”- Click the card body to open the Work Order modal.
- The modal shows reference, customer, address, sub job price and type, a Tradesperson dropdown limited to the matching profession, a Date picker, and Tradesperson Notify and Client Notify selectors.
- Choose the tradesperson and date, set the notify options and click Save. The sub job is updated and any notifications you selected are sent.
- The modal also has direct Send Work Order and Send Client Card buttons (the work order button is disabled until a tradesperson is assigned, and the client card button is replaced by a Ring & Book label for Ring and Book sub jobs).
Job notes are shown at the bottom of the modal so the scheduler sees access instructions and warnings.
How it works behind the scenes

Section titled “Tradesperson availability”The board was built around a single available from date per tradesperson. Tradespersons set it in the tradesperson app, and an availability calendar with per day tradesperson selectors used to sit beneath the board. That calendar is now commented out of the page. The Planning Board replaced it with per day availability entries that can be tentative and are consumed on allocation.
Two nightly tasks still keep the underlying data tidy:
- Clear expired tradesperson availability dates (1:00 am) clears a tradesperson’s available from date once it has passed, so stale dates do not show against their name.
- Deactivate team members who have not clocked in (2:00 am) deactivates tradesperson team members who have not clocked in for three months, which removes them from allocation lists.
Allocation
Section titled “Allocation”Allocating from the Jobs Board goes through the same rules as the job page and the Planning Board:
- Setting a tradesperson on a sub job clears the tradesperson’s available from date and, if the sub job is a painter sub job, moves any future project manager visits on the sub job to the job’s PM.
- If a work order had already been sent and the tradesperson changes, the previous tradesperson is emailed that the job was rescheduled and the work order sent stamp is cleared.
- Sending the work order emails and texts the tradesperson; sending the client card emails and texts the customer (subject to the customer’s notify settings).
- When every sub job on a job has a start date, the job becomes In Progress.
User reallocation
Section titled “User reallocation”The nightly Process project manager reallocations task (2:00 am) processes project manager leave recorded on the Reallocation tab of a user’s record: for the leave period it moves the PM’s visits, jobs and zones to the nominated replacement, and at the end of the period moves them back. It does not touch tradesperson allocations on sub jobs.
Not clocked in handling
Section titled “Not clocked in handling”Tradespersons and their team members clock in and out of sub jobs from the tradesperson app. Those check ins drive the work order timesheet and the deactivation rule above. A head tradesperson who never clocks in is not deactivated by this rule; only team members are.
Tips and gotchas
Section titled “Tips and gotchas”- Prefer the Planning Board for anything more than a quick single sub job change. It has status filters, notes, bulk sending, availability flags and the blocked tradesperson checks.
- The Jobs Board does not block allocation of tradespersons with expired capabilities or unsigned agreements the way the job page and Planning Board do. Check Capabilities before allocating here.
- Dragging a card sets the start date to midnight; the system normalises a midnight start to 7:30 am when it saves.
- The blocked (grey) day columns are old public holidays and should be ignored.
- The board only shows sub jobs whose start date is inside the displayed week. Sub jobs planned with an approximate date but no confirmed start date appear on the Planning Board, not here.
