Large Quotes
Quotes > Large Quotes lists every open quote that has been flagged with the Large quote checkbox. Management and sales staff use it to give big body corporate, commercial and residential proposals extra attention, and a weekly email summarises which of them have been contacted.

What you see

Section titled “What makes a quote “large””A quote is large because somebody ticked Large quote, either on the Create Quote form or on the quote page. It is a judgement call, not a price band. Estimators can also set the flag from the iPad.
Separately, the system treats $50,000 as the point where automatic alerts begin (see below). Those alerts fire on price regardless of whether the checkbox is ticked.
The list shows large quotes in Pending, Quoted, Pending Deposit or Quote Sent by default. Accepted, Cancelled and Declined quotes are excluded and are not offered in the Status dropdown.
Filters
Section titled “Filters”| Filter | What it does |

Click Search to apply. Create new opens the Create Quote form.
Columns
Section titled “Columns”The standard quote columns (reference number, customer, parent, type, address, appointment time, estimator, price, status) plus:

What you can do
Section titled “What you can do”Flag a quote as large
Section titled “Flag a quote as large”- Open the quote.
- Tick Large quote.
- For body corporate work, fill in the AGM date, EGM date and Committee Meeting date fields that appear, so everyone knows when the decision will be made.
- Click Update.
Untick the box and click Update to remove a quote from this list.
Follow up a large quote
Section titled “Follow up a large quote”- Sort by Last contacted to find the quotes that have been quiet longest.
- Open the quote, review the Quote Versions tab (has it been sent, has it expired, has the customer opened it) and the Notes tab.
- Contact the customer, then add a note. The note updates Last contacted and feeds the weekly contacted email.
How it works behind the scenes

Section titled “Large quote contacted email”Every Wednesday at 10:00 am the Large quotes contacted report task emails a Large Quotes Contacted summary to the Large Quotes Contacted CC list (see CC Emails). It lists every large quote in Pending, Quoted, Pending Deposit or Quote Sent that was contacted in the last eight days, with the quote reference (linked to the quote page), the date of the latest note, customer name, estimator, price, parent company and address. Nothing is sent in a week where no large quote was contacted.
Rescheduling a large quote keeps the old slot
Section titled “Rescheduling a large quote keeps the old slot”When a large quote’s appointment date is changed from the quote page, the system automatically creates a personal appointment for the estimator in the original time slot, noted “Large Quote Rescheduled” with the quote reference and address. This keeps the original time visible on the Appointments calendar so the estimator’s day is not double-booked while the change settles. The quote page shows a banner linking the two. If the slot is genuinely free, the estimator or office can delete that personal appointment.
The $50,000 alerts
Section titled “The $50,000 alerts”These are based on price, not the checkbox:
- Large Job Lead is emailed to management the first time a quote version priced over $50,000 is saved on a quote. It includes the reference, customer type, customer, address, contact details and price, with a link to the customer record.
- Large Quote Over 50k Opened is emailed the first time a customer contact unlocks the proposal with their verification code. It goes to the estimator while the quote is unaccepted, or to the job’s project manager once a job exists, and names the contact who opened it and how they verified. Internal staff opening the proposal never trigger it, and it is sent once per contact.
- The Daily Quote View Report each morning lists opens of every quote, not just large ones, so estimators can see repeat views from strata managers and committees.
Body corporate timing
Section titled “Body corporate timing”Large body corporate quotes follow the slower reminder cycle (3, 6 and 9 weeks after sending) and the 90-day expiry described on the Quotes page. Use the AGM, EGM and committee dates to time manual follow-ups around the meeting rather than relying on the automatic reminders.
Tips and gotchas
Section titled “Tips and gotchas”- The list ignores the flag on Accepted, Declined and Cancelled quotes, so a large quote vanishes from here once it converts. Look under Jobs instead.
- Estimator contact made only by phone does not count as contact until a note is added.
- Ticking Large quote on a quote that already has an appointment does not send anything to the customer.
- If you change a large quote’s date and the automatically created “Large Quote Rescheduled” personal appointment is not wanted, delete it from the Appointments calendar, otherwise the website booking form will treat that time as taken.
