Sources

Sources (Settings > Entities > Sources) is the list of ways a customer found Rochele: Google, referral, website, TV, job sign and so on. Every customer must have a source, quotes inherit it, leads can be tagged with it, and the dashboard graphs conversions by source. Marketing and operations maintain the list.

Column Meaning
Name The source as shown in dropdowns and graphs.
Colour The colour used for this source on dashboard graphs.
Status Active sources can be chosen; Inactive sources are hidden from pickers but keep their history and still appear on graphs.
Outreach Activity Yes when the source is also available as an outreach activity when logging a lead; No otherwise.

Two sources are reserved for the system: Repeat Customer, applied automatically when an existing customer books again, and No Source, applied when nothing better is known. Do not delete or rename them.

  1. Click Create new.
  2. Enter the Source Name and pick a Source Colour.
  3. Leave Active on so the source can be selected.
  4. Turn on Apply for leads if this source should also appear as an outreach activity on leads.
  5. Click Create.

Click a row. A popup lets you change the name, colour, Active switch and Apply for leads switch. Save to apply.

  • Customers. Source is required when a customer is created in the office, with no default (ROCH-359). Customers can also record several marketing methods, capturing every place they heard of Rochele (ROCH-306). See Customers.
  • Website booking form. The booking form asks where the customer heard about Rochele and captures marketing methods and UTM tracking fields from the landing page URL for advertising attribution (ROCH-1146, ROCH-1511). See Website Booking Form.
  • Quotes. A new quote takes its source from the customer. If the customer already has a quote that was not declined, the quote is tagged Repeat Customer instead; a customer with no source produces No Source.
  • Leads. When logging a lead the outreach activity list only offers sources with Apply for leads switched on. See Leads.
  • Reporting. The dashboard shows customer source and quote-to-job conversion by source over a date range, plus a digital marketing graph built from the UTM data. See Metrics and Graphs.
  • Colours matter: two sources with the same colour are indistinguishable on the graphs.
  • Turning Apply for leads on for a general source (for example Google) will clutter the outreach activity list; reserve it for activities the sales team actually performs.
  • Changing a customer’s source later does not change the source stored on quotes already created.
