Team Members

Tradespersons > Team Members lists every individual who works for one of Rochele’s tradesperson businesses. Operations use it to check who is active and holds the right documents before a crew arrives on site; office admin use it to find a team member across all businesses without opening each profile.

A tradesperson is the contracting business (the head tradesperson’s account). A team member is a person who works for that business. Every team member has their own user account with the Contractor Team Members role, linked to the tradesperson they belong to. That account is what lets them log into the Rochele Trades app with their own mobile number, clock in and out, accept safety hazards and receive agreements. Because they are user accounts, team members also appear in Settings > User Management, but the Team Members list is the easier place to work with them.

Team members are created in two ways:

  • From the web. On a tradesperson’s profile, open the Team Members tab and click Create Member.
  • From the app. The head tradesperson invites team members from Settings > My Team or during onboarding (Invite team members).
Filter What it does
Head Painter Yes shows only team members marked as head painter, No shows everyone else.
Active/Inactive Shows only active or only inactive team members. Leave blank for both.
Tradesperson Limits the list to one business. Only active tradespersons are offered.
search Matches name, email or phone as you type.
Column Meaning
Team member The person’s name.
Email Their email address (may be blank; the phone number is what they log in with).
Tradesperson The business they work for.
Active Active or Inactive. Inactive members cannot log into the app and are left out of active-only messages, agreement sends and reminders.
Head Painter Yes if this person is the head painter for the business.
# Capabilities How many capability documents are on file for them.
Capabilities button Opens the capability documents for this person (see below).

The list shows 15 people per page.

Each business has two special flags, set with the switches on the Team Members tab of the tradesperson’s profile:

  • Head painter: the person whose photo represents the business (the Headshot in the Tradespersons list) and who is treated as the lead on site. Head painters can invite team members from the app and are the recipients of agreements sent to “All Head Contractors”.
  • Admin (team admin): the person who receives copies of the business’s important emails, such as agreements and safety or workmanship improvement requests, alongside the head tradesperson.

Only one team member can hold each flag at a time; switching it on for someone else moves it.

Use the Tradesperson filter or type part of their name in search. To see people who have dropped off (for example to reactivate them), set Active/Inactive to Inactive.

View, add, approve or archive capability documents

  1. Click Capabilities on the team member’s row.
  2. The dialog lists each document with Name (the document type), Certification (View opens the file), Expiry, Approved By (the office user who approved it and when, or an Approve button) and an Archive button.
  3. Click Add Capability to upload a new one: pick the Name (document type), set the Expiry or tick This does not expire, click Click to upload to attach a jpg, png or pdf, then Save.
  4. Click Approve to confirm you have sighted a document, or Archive to remove it from the tradesperson’s view (archived documents stay visible to the office).

The same dialog is available from the Team Members tab on a tradesperson’s profile. Rules about expiry, mandatory documents and reminders are on Capabilities.

Create a team member (from the tradesperson profile)

  1. Open the tradesperson’s profile and the Team Members tab.
  2. Click Create Member and enter First name, Last name, Email, Phone, whether they are Active, and an Image (their photo).
  3. Click Create Member.

The new person can log into the app straight away with their phone number. They are also added automatically to any current agreement that was sent to all head tradespersons or to their business’s profession, so the agreement appears in their app for signing.

On the tradesperson profile’s Team Members tab:

  • Edit opens the same fields as creation plus the current photo. Use it to correct a phone number or switch Active off and on.
  • Delete removes the account and unsubscribes the person from the tradesperson mailing lists. Prefer deactivating unless the record was created in error.

Each team member can have a photo, uploaded on the web (Image) or changed by the head tradesperson in the app (Change photo). Photos appear as the Thumbnail on the profile tab and, for the head painter, as the business Headshot in the Tradespersons list. Photos help project managers and customers recognise who is on site.

  • Roles. Head tradespersons hold the Contractor role (shown as Tradesperson in this guide); team members hold the Contractor Team Members role. Team members have no web app access at all. Head tradespersons can technically sign in to the web app and see their jobs and tasks, but everything they need is in the Rochele Trades app. See Roles and Permissions.
  • Automatic deactivation. The Deactivate team members who have not clocked in task runs at 2:00 am daily and sets any active team member to inactive if they have not clocked in through the app, or been checked in by a project manager in a site report, for three months. Head tradespersons are not affected.
  • App permissions. In the app, the head tradesperson controls each member’s Active status (“Deactivating a member removes their access to the app”), Head Painter flag (“allows them to invite members to this team”) and Messages permission (“send and receive messages to the Rochele Head Office and customers via the app”). A member with the Messages permission joins the same chat thread as the head painter. See Message Centre.
  • Documents. Team members who are not the head tradesperson only need to upload additional documents; the mandatory insurance and licence documents belong to the head tradesperson. See Capabilities.
  • Messaging. Bulk emails and SMS from the Tradespersons list can include all or only active team members. See Tradespersons.
  • Phone numbers must be unique across all users. A team member who “cannot get a code” usually shares a number with another record, or is inactive.
  • If someone has been quiet for a season they may have been deactivated automatically. Filter Inactive, open the tradesperson profile and switch them back on.
  • The # Capabilities count includes documents that have expired. Open the Capabilities dialog to check dates.
  • Deleting a team member removes their timesheet history from view. Deactivate instead unless you are sure.
