Report Gallery

Jobs > Report Gallery is a photo wall of everything captured in the field: photos and videos attached to project manager site reports from the iPad app, and progress photos submitted by tradespersons from the Tradesperson app. Operations, management and marketing use it to review site conditions, check workmanship and find recent job photos quickly. This page also explains the report types and how a project manager creates a report.

The gallery has two tabs.

Tab Contents
PM Progress Photos Every photo or video attached to a project manager’s report on the iPad: job progress photos, job sign photos, and photos attached to safety and workmanship inspections.
Painter Progress Photos Every photo submitted by a tradesperson through Submit progress report in the Tradesperson app. Despite the name, this includes all trades, not just painters.

Each tab shows 24 items per page, newest first, with:

  • A thumbnail. Videos show a play icon and can be played in place.
  • View Timeline, which opens the job’s internal timeline in a new tab so you can see the photo in context alongside the report it came from.
  • The date the photo was uploaded.

Click any thumbnail to open a full-size viewer with left and right arrows to step through the page.

There are no search or filter controls on this page. To find photos for a specific job, open the job’s timeline from the job page instead.

  1. Choose the PM Progress Photos or Painter Progress Photos tab.
  2. Click a thumbnail to view it full size, and use the arrows to browse.
  3. Click View Timeline to jump to the job the photo belongs to. From the timeline you can open the full report and see who took the photo and why.

Photos cannot be deleted from the gallery itself. Open the job timeline via View Timeline and delete the photo there. Admin users can delete both project manager report photos and tradesperson progress photos from the timeline.

Everything in the gallery comes from one of these reports.

Supervisor Report (onsite) (the iPad’s name for a project manager site report) Project manager, iPad app A site inspection. Appears on the customer timeline as “Site inspection completed”.
Supervisor Report (offsite) Project manager, iPad app The same report completed away from site, typically to update progress from tradesperson photos or to log a safety or workmanship issue. Only appears on the customer timeline if it has photos, as “Offsite report - painter photos”.
Prestart Report Project manager, iPad app Completed at the prestart visit before work begins. Captures approximate start dates and notes for each job card, a schedule of works, prestart notes and photos. Shown on the internal timeline only, never to the customer.
Final visit Project manager, iPad app A Supervisor Report with Is this the final visit? set to Yes. Normally accompanies 100% progress and the customer’s sign off.
Tradesperson progress report Tradesperson, Tradesperson app Photos and comments submitted from a job card, optionally with an advance request. Photos appear on the customer timeline. See Job Progress.
Incident report Tradesperson, Tradesperson app or work order page A separate safety incident form with signatures. Incident reports are not part of this gallery and are managed under the job.

Within a Supervisor Report, the Safety Inspection and Workmanship Inspection questions are the source of tradesperson Improvement Requests. When a project manager marks an inspection as not passed and selects the job cards to notify, an improvement request is recorded against each of those tradespersons, with the inspection comments and photos attached. A monthly summary is also emailed by the Improvement request report task.

How a project manager creates a report (iPad app)

On the iPad app the project manager opens the job and starts a Supervisor Report (or a Prestart Report for a prestart visit). Reports can be saved as drafts and deleted with Delete Draft? before submission.

Are you onsite? Yes or No. For an onsite report the iPad checks the device’s location and refuses to continue if it is not within 1 km of the job address, so onsite reports are genuinely onsite.
Did you meet the client? Yes or No, with comments. Published on the client timeline.
Did you meet the contractors on site? Yes or No. If Yes, at least one tradesperson must be checked in. The app prompts “Please check in all contractors or mark everyone else not present on site.”
Has job sign been set up? Yes or No, with a photo. A photo of the job sign is required.
Passed Safety Inspection? Yes or No. If No, add comments, photos, choose which job cards to Notify, and optionally add Additional Emails. Creates improvement requests.
Passed Workmanship Inspection? Same as safety, for quality of work.
Do you need to organise power to the property to be disconnected? Yes or No, with a Disconnection Date.
JOB PROGRESS A slider per job card and an overall slider. The app shows the advance amount each slider will generate and blocks the report if an advance would be negative after materials (“Please make sure you are advancing more than the material spend for each subjob”).
ESTIMATED COMPLETION DATE Confirm or adjust the job’s estimated completion range. Must be confirmed each report.
CONTRACTORS Confirm each painter’s next available date. Must be ticked each report.
RECOMMENDED TRADESPERSONS Optionally recommend tradespersons for job cards, recorded against the report.
Is this the final visit? Yes or No. If No, a Next Supervisor Visit must be set within the next three weekdays.
Put the job on hold? Yes or No. Yes sets the job status to On Hold.
Send customer final sign off email Tick to email the customer the final sign off request when the report is submitted.
NOTES Free text, with optional AI voice recording and transcription.

The project manager then taps Submit, or Submit with Sign Off to capture the customer’s name and signature on the iPad. The report uploads immediately and needs an internet connection.

The prestart form replaces the questions above with Job Cards (approximate Start Date and Trade Note per job card), a Schedule of Works table (date, task, duration), Prestart Notes and Photos.

Report action Result in the system
Onsite report submitted The site visit scheduled for that day is linked to the report. If the customer has notifications on, they receive “Your Job at [address] was inspected today by [project manager]” about five minutes later. The project manager also receives a “You have created a report” confirmation.
Job progress sliders moved Each job card’s percentage is updated, tradesperson advances are suggested, and the job’s overall percentage releases any Hidden progress invoices it has passed. Variation invoices are never released by a report. Full detail in Job Progress.
Job reaches 50% Customer receives the Half Way Point email.
Job reaches 100% Job status becomes Completed, the customer receives the feedback email, and if the report was submitted with sign off the final sign off is recorded on the job.
Send customer final sign off email ticked Customer receives “Final sign off for #reference” (once only per job).
Put the job on hold? Yes Job status becomes On Hold.
Power disconnection Yes with a date The project manager receives a power disconnection request email, and if an electrician job card exists it is scheduled for that date and its work order sent.
Safety or Workmanship not passed Improvement requests are created for the selected job cards’ tradespersons. See Improvement Requests.
Prestart Report submitted A Prestart Report Submitted email goes to the office listing any start date changes, the approximate dates are saved to the job cards, and the prestart notes are pinned to the job as a sticky note.
First visit of the job The report is flagged as the first visit for KPI reporting (see KPI).

The PM on-site report notice task runs every hour. For any onsite report submitted between one and two hours ago on a job where tradespersons checked in that day, it emails each head tradesperson “PM met the following team members for Job #…” listing who was checked in. This gives team leaders a record that the project manager saw their people on site.

  • Internal job timeline (from the job page, or View Timeline in the gallery): every report, with a View Report button for onsite and prestart reports that opens the full report page showing notes, inspection answers, photos, the day’s check-ins and, for prestart reports, the schedule of works as a chart.
  • Customer job timeline: onsite reports and offsite reports with photos, plus tradesperson progress photos. Prestart reports and tradesperson comments are not shown to customers.
  • Tradesperson app: tradespersons can see the project manager reports for their jobs under Job Reports.
  • Dashboard: site inspection counts (met with client, visit on first day, final visits) feed the Metrics and Graphs and KPI pages.
  • The gallery is the quickest way to spot a problem photo across all jobs, but it has no filters. For one job, go to that job’s timeline instead.
  • Painter Progress Photos are visible to customers. If a tradesperson uploads something unsuitable, delete it from the job timeline promptly.
  • A report that will not submit on the iPad is almost always a validation stop: an unconfirmed date, a missing job sign photo, no job cards selected on a failed inspection, or a next visit more than three weekdays away. The alert names the missing item.
  • Onsite reports need the iPad within 1 km of the site. If a project manager needs to update progress from the office, they should answer No to Are you onsite? and submit an offsite report.
